Attention geri system email users:
 
Below is a notice from the DHTS Messaging group regarding a new email 
policy. Users and adminstrators can no longer automatically forward email 
from Duke Medicine to ANY email address outside of Duke Medicine. The 
intent is to prevent the inadvertent communication of sensitive electronic 
material without it being properly encrypted.

There is a statement in the email that says, "This only applies to the    
Duke Medicine Users of Lotus Notes." That refers to the actions that DHTS
is taking. The policy itself applies to all of Duke Medicine.
 
How does this effect you? The most direct impact is that if you leave Duke 
Medicine we can no longer forward your Duke email to an address that is 
outside the Duke Medicine network. As indicated in the memo below, DHTS is 
in the process of removing any such forwarding addresses for Lotus Notes 
users and will be preventing Lotus Notes users from supplying a forwarding 
address.
 
In the past the Aging Center has established automatic email forwarding 
for geri users that have moved on. These people will be notified of this 
new policy and given the opportunity to directly notify people who 
communicate with them of their new email address. As people with 
geri.duke.edu email addresses leave the Center for Aging, they should 
contact the Aging Center IT support staff for assistance in making the 
transition to their new email address.

As discussed at the last DNA forum, Duke Medicine has approved a policy
that forbids automatic forwarding of email.  Here is the verbiage
concerning this from the Electronic Communications Policy:
 
   Electronic mail may not be automatically forwarded outside of Duke
   Medicine.
 
The complete Health System Electronic Communication policy can be viewed

In order to adhere to this policy, we have disabled the ability to supply a
forwarding address on a user as of today.
 
This only applies to the Duke Medicine Users of Lotus Notes.
 
We have started a process to evaluate and remove any existing automatic
forwarding for Duke Medicine Users of Lotus Notes.
